What it is and who it is for

BlueArc MMS handles maintenance, inspections and compliance for safety critical equipment. It puts twelve asset classes on one register, watches compliance every night, drives preventive maintenance, issues branded certificates and syncs both ways with Xero. The idea is simple. You manage exceptions, not calendars.

It is for equipment services businesses, asset owners and the maintenance teams responsible for gear that has to be safe and provably compliant. If you juggle a mix of asset types with different service intervals and inspection rules, and you are living out of a wall calendar and a stack of spreadsheets, this is built for you.

The problem it solves

Safety critical equipment fails compliance quietly. A service date passes, an inspection lapses, a certificate expires, and often nobody notices until an incident or an audit. Managing it by calendar means someone has to remember to check, across many assets with different rules, and the moment the fleet grows the calendar becomes unmanageable. Certificates get produced by hand, and the money side lives in a separate accounting tool that never quite matches.

BlueArc MMS flips this. Instead of you watching the calendar, the system watches, and only raises what needs a person. Everything sits on one register, and the money stays aligned through Xero.

How it works end to end

  1. Messy input. A mixed fleet of assets, each with its own service intervals, inspection rules and compliance requirements.
  2. AI proposes. The nightly compliance watch checks the whole register and proposes the work due, the inspections needed and the exceptions to act on.
  3. A person confirms. A maintenance lead reviews the proposals, schedules and confirms the work. Nothing is closed or certified on its own.
  4. Proof and outcome. Completed work produces a branded certificate and an audit trail, and the financial side syncs to Xero.

Key capabilities

Twelve asset classes on one register

MMS supports twelve asset classes on a single register. Instead of a different system or spreadsheet per asset type, everything lives in one place with the right rules for each class. You see the whole picture without switching tools.

Nightly compliance watch and preventive maintenance

Every night the compliance watch runs across the register and checks what is due, what is lapsing and what needs attention. Preventive maintenance is scheduled ahead of failure rather than after it. The result is that you learn about a problem as a flag in the morning, not as a breakdown or a failed audit.

Branded certificates

When work is completed and confirmed, MMS produces a branded certificate ready to issue. The certificate carries your branding, so what your customer receives looks like it came from you, and the record sits behind it.

Two way Xero sync

MMS syncs both ways with Xero, so the maintenance work and the money stay aligned. Invoices and financial records move between the systems without manual re keying, and the two sides agree.

Manage exceptions, not calendars

The whole design points at one outcome. You do not sit and watch dates across a growing fleet. The system watches, and surfaces the exceptions. Your team works the exceptions and confirms the work, and the routine stays in the background.

A typical day or workflow

A maintenance lead opens MMS in the morning to a short list of exceptions the nightly compliance watch has raised across the register. A crane is due for service, an inspection on another asset is close to lapsing, and a certificate is about to expire. They schedule the service, assign the inspection and confirm the plan. Through the day, technicians complete work, and as each job is confirmed a branded certificate is produced ready to send to the customer. The invoicing flows to Xero automatically, so the finance side matches the work without re keying. The lead never opened a wall calendar, because the exceptions came to them.

Setup and getting live

You load your assets onto the register, choosing the right class for each, and connect Xero. The nightly compliance watch begins running, and your team confirms the first schedules and exceptions to settle the intervals and rules. Because it is one register with the rules built in per asset class, most teams are live in days, not months.

Security, privacy and localisation

BlueArc MMS is Australian hosted in the Sydney region, and our practices are ISO 27001 and SOC 2 aligned. The two way Xero sync keeps financial records aligned within your existing accounting. Every completed job carries an audit trail behind its branded certificate, so compliance can be evidenced on demand.

FAQ

What counts as an asset class? MMS supports twelve asset classes on one register, each with its own service and inspection rules, so a mixed fleet lives in a single place.

What does the nightly compliance watch actually do? It checks the whole register every night for what is due, lapsing or needs attention, and surfaces those as exceptions for your team in the morning.

Do I still have to track service dates myself? No. That is the point of managing exceptions rather than calendars. The system watches the dates and raises what needs a person.

Does the Xero sync go both ways? Yes. MMS and Xero stay aligned, so maintenance work and financial records agree without manual re keying.

Can the certificates carry our branding? Yes. Completed and confirmed work produces a branded certificate ready to issue to your customer.

Does anything get certified automatically? No. Work is proposed and scheduled, then a person confirms completion, and the certificate follows the confirmed work.
