How to choose construction software
The test most software fails: will the site use it
Most construction software is chosen in an office and abandoned on a site. The question that predicts adoption is not how many features it has, it is whether a supervisor with dirty hands and no signal will use it at the end of a long day.
Check that the diary, the photos and the safety documentation live in one place rather than three, and that capture works offline and syncs when a connection returns. If the site will not use it, the office ends up retyping the site's day, and you have bought a second job.
Where does the money actually get tracked
Ask where the quote goes after it is sent. In a lot of systems the quote is a document that gets filed, and the job's costs are tracked somewhere else entirely, so nobody compares the two until the job is finished.
What you want is the quote connected to the job: when it is accepted it becomes the budget, and cost is tracked against that budget as the work runs. Ask specifically whether committed cost is included or only actual invoices, because a position built on invoices alone tells you about a problem weeks after you could have done something about it.
What happens before a bill gets paid
Margin quietly leaks through supplier bills that nobody checks properly. Ask what happens between a bill arriving and a bill being paid.
A three way match compares the bill against the order and against what was actually received. If the three agree it is clean; if they do not it should be flagged before anyone pays it. Then ask who signs off, and whether anything can be paid without a person deciding. Be wary of any answer that sounds like straight through processing.
Estimating, and what the word is hiding
"Estimating software" means two different things and the word hides the difference. To some vendors it means takeoff: measuring drawings, bills of quantities, rate libraries and price books. To others it means quoting: building a price quickly and getting it out the door.
Work out which one you need. If you are measuring drawings, buy measurement software and do not be talked out of it. If your real problem is that quotes take too long and you never know whether the job held its price, measurement is not your bottleneck.
What drives the cost
The plan price is rarely the number you end up paying. Four things move it more than the sticker does.
How you are counted. Per user, per job, or per site behave very differently as you grow. A subcontractor with a few people and a project office running many jobs hit different walls.
What turns out to be an add-on. Document storage, extra jobs, extra users and the parts that matter most to you are sometimes included and sometimes not.
Getting your data in. Bringing across current jobs, suppliers and your cost structure is real work. Ask who does it and whether it is quoted separately.
Whose time absorbs the gaps. If the software leaves work behind, someone in your office does it every week. That cost does not appear on any invoice, which is exactly why it gets missed.

What you pay is driven by how you are counted, how many jobs or users are in scope, which parts turn out to be add-ons, and what it takes to get your current jobs and suppliers in. Price the whole arrangement rather than the headline plan, and ask what happens to the number as you take on more work.
What is the best construction estimating software for a small builder? It depends on whether you need takeoff or fast quoting. If you are measuring drawings, you want measurement software. If your problem is getting a quote out the same day and then knowing whether the job is holding its margin, that is a different tool. Decide which problem you actually have before comparing anything.
Will it work on site without signal? It should. Offline capture that syncs when a connection returns is usually what decides whether a site adopts the software at all, because a supervisor in a black spot will not fight a form that needs coverage.
